Terms and Conditions
1. How to Enter
1.1 Entry is free.
1.2 To enter the Dental Care Awards all nominators (either self-nominations or another person organisation) must read and understand the terms and conditions set out in this document (Terms and Conditions) and complete the on-line entry form for their chosen Award category.
1.3 Dental Care Productions reserves the right to alter or change these Terms and Conditions at any time at its discretion.
1.4 All entrants into the Dental Care Awards will be notified of any change to these Terms and Conditions that has taken place before their entry is judged and will be provided with a reasonable opportunity to amend or alter their entry (where relevant).
1.5 All submissions are to be lodged through the Dental Care Awards website at www.dentalcareawards.com.au (Website).
1.6 By lodging your entry, you agree to be bound by these Terms and Conditions.
1.7 Your entry must be submitted by 5pm Australian Eastern Standard time on the advertised close date as published on the Website.
1.8 By lodging your entry, you agree to provide Dental Care Productions and any other third party undertaking external validation on its behalf, with any relevant documentation requested in order to assess your application (including to verify your entry against the eligibility criteria requirements set out in these Terms and Conditions).
2. Eligibility
2.1 Employees of Dental Care Productions are not eligible to enter the Dental Care Awards.
2.2 An entry into the Dental Care Awards may be disqualified if the entrant becomes subject to any form of regulatory complaint or enquiry. The decision to disqualify will be made by a Director of Dental Care Productions and will take into account the context of the complaint or enquiry. Failure to notify Dental Care Awards within 7 days of notice from a regulator will result in automatic disqualification.
2.3 Dental Care Productions reserves the right in its sole discretion to disqualify any entry who Dental Care Productions has reason to believe may have breached any of these Terms and Conditions (including any of the eligibility requirements), or engaged in any unlawful, fraudulent, misleading, deceptive, or other improper misconduct that may jeopardise the fair and proper conduct of the Dental Care Awards or otherwise may bring the Dental Care Awards into disrepute or damage the goodwill or reputation of Dental Care Productions. This applies to finalists and winners post-award, where an entrant or previous participant is found not to have behaved in a manner consistent with the Terms and Conditions of the Awards.
2.4 Dental Care Productions accepts no responsibility for any entries lost in transit or not received by the closing time due to technical disruptions or any other reason beyond the control of Dental Care Productions.
2.5 Subject to meeting a gateway score (which is set by Dental Care Productions in its absolute discretion), applicants will become finalists in the Dental Care Awards for their respective category. Becoming a finalist in the Dental Care Awards requires a high standard of nomination submission; not all applicants are assured to become finalists.
2.6 Entrants must ensure they meet, and continue to meet, all eligibility criteria requirements set out in these Terms and Conditions, in addition to any category-specific requirements published on the Categories section of the Website.
3. Previous Winners
3.1 Previous winners are eligible to enter the same category in the subsequent year that they have won, up to a maximum of three consecutive years.
3.2 If the same organisation or person wins the same category in the Dental Care Awards three years in a row, they will be placed in the "Hall of Fame" for that category.
3.3 The organisation or person who is placed in the "Hall of Fame" shall then be excluded from entry into that category for the next two consecutive years.
3.4 Subject to clause 3.3, previous winners, including members of the Hall of Fame, may enter any other category in the subsequent year of their announced win.
4. Entry Requirements
4.1 All entries for consideration must be lodged online and include all the required information.
4.2 Dental Care Productions reserves the right to declare any entry ineligible, if at any time during or after the term of the award process your entry form is found to be incomplete, deficient, false, or misleading in any way.
4.3 Where an organisation operates at a number of physical locations, this organisation can enter multiple categories, however, can only enter once for each eligible category.
5. Opening and Closing Dates
5.1 Refer to the key dates given on the ‘About’ page on the Website for entry opening and closing dates.
5.2 Dental Care Productions reserves the right to extend or vary the entry period if required, before or after the Dental Care Awards entry period commences.
6. Confidentiality
6.1 Upon their submission pursuant to these Terms and Conditions, entries become the property of Dental Care Productions. All information provided in the entry form will be used for the purpose of judging the Dental Care Awards only and will be treated as commercial-in-confidence by Dental Care Productions, unless otherwise specified.
6.2 If you are selected as a finalist in the Dental Care Awards, information provided in your entry (excluding financial information) will be used for the purpose of promoting the Dental Care Awards and your contribution to dentistry.
6.3 Contact information provided in your entry form may be disclosed to sponsors for the purpose of direct opportunities for promotion through sponsor partners. You can refuse the disclosure of contact information to sponsors by advising contact@dentalcareawards.com.au in writing.
6.4 In accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), Dental Care Awards may collect, use, and disclose personal information in accordance with its Privacy Policy which can be viewed online at www.dentalcareawards.com.au/privacy.
6.5 The Privacy Policy is deemed to be incorporated into these Terms and Conditions and by entering the Dental Care Awards, you are taken to consent to Privacy Policy. The Privacy Policy may be replaced or varied at the discretion of Dental Care Productions from time to time, effective immediately upon posting such changes to the website, and as replaced or varied it is incorporated into these Terms and Conditions.
7. Judging
7.1 All entries are judged by a panel of subject matter experts, selected by Dental Care Productions from professional and industry leaders, which may also include previous Award winners and sponsors. These judges may also be internal to Dental Care Productions.
7.2 At its discretion, Dental Care Productions applies a weighting to each question, based on the complexity of that question in relation to all questions within a category.
7.3 Judges will allocate scores to each question asked, and these scores will be multiplied by an unseen weighting to reach an overall score for each entry.
7.4 There will only be one winner per category for each sub-class of participant (ie dentist, OHT etc).
7.5 Where there are two or more entries with the same highest score, the judging panel will be reconvened for determination of the winner. If after the judging panel has been reconvened, there is still two or more entries with the same highest score, the Director of Dental Care Productions will have the final determination.
7.6 Judges are required to sign a confidentiality agreement and disclose any conflict of interest.
7.7 The Judging Panel's decision is final, and no further correspondence will be entered into.
7.8 In situations where there is only one entrant for an Award category, this entry will be judged. Subject to meeting a gateway score, the entry will become a Finalist and will be awarded as a Finalist. This Finalist will be invited to the Awards Ceremony. They will be recognised at the Awards dinner but will not be declared a Winner; they will be referred to as a Finalist only.
7.9 A representative of Dental Care Productions or the Judging Panel may contact any entrant via telephone interview or email for further information or to verify their entry prior to selecting the final preferred winner. Conducting such interviews does not create any obligation on Dental Care Productions or the Judging Panel to select the interviewed entrant as a winner.
8. Awards

8.1.9 Excellence in Dental Assisting
8.1.10 Outstanding Dental Technician
8.1.11 Championing the Patient Journey
8.2 Dental Care Productions may, in its sole discretion (without prior notice) add or vary these award categories at any time.
9. Geographic Coverage
9.1 Dental Care Productions provides the online entry and judging portal for the Dental Care Awards. The Dental Care Awards accepts nominations for practitioners, individuals and organisations based inside Australia.
10. Announcing the Finalists and Winners
10.1 All Finalists will be notified by phone, email, and published on the Dental Care Awards website.
10.2 Winners will be announced at the Awards event. If an event is not held, winners will be notified by phone, email and published on the Dental Care Awards website.
10.3 It is a condition of entry for all entrants that, if requested by Dental Care Productions, the entrant agrees to participate in media requests, social media, and other publicity requests conducted by and for use by Dental Care Productions and any of their related or controlled entities. Dental Care Productions, in its absolute discretion, may select any entrant to participate in these activities. There will be no fee payable, remuneration or other direct financial benefit to be received by the entrant (other than the marketing opportunity) as a result of any participation in these activities.
11. Sponsorship of the Dental Care Awards
11.1 Individuals and Companies are invited to sponsor the Dental Care Awards.
11.2 Potential sponsors are required to demonstrate how their business relates harmoniously and without conflict to the mission and purpose of the Dental Care Awards.
11.3 Pursuant to Clause 2.7 of these Terms and Conditions, the Dental Care Awards may rescind the affiliation afforded to a Sponsor at any time based on any non-alignment of the Dental Care Awards with a Sponsor’s behaviour or business. Non-alignment of mission and purpose will be determined by the Directors of Dental Care Productions and their decision is final.
11.4 Types and tiers of Sponsorship are outlined in the Dental Care Awards Sponsorship Prospectus. Potential sponsors may contact the Dental Care Awards for further details - contact@dentalcareawards.com.au.
11.5 Sponsors are not involved in judging of the Awards.
11.6 Sponsors may not nominate for any categories of the Dental Care Awards whilst they are sponsoring the Awards.
12. Use of the Dental Care Awards Logo
12.1 Dental Care Productions reserves the right in its sole discretion to mandate the terms upon which any individual or organisation entry may utilise the Dental Care Awards logo in connection with the Dental Care Awards.
12.2 The Dental Care Awards logo™ is Trademark protected. In order to guard its reputation and effectiveness for all businesses using the logo, we reserve the right to withdraw authorisation of use of the logo by any individual or organisation that demonstrates it no longer respects the values of the Dental Care Awards. The logo must not be altered in any way without prior permission from Dental Care Productions in writing.
12.3 Logos must not be altered in any way (excluding size scaling). When using a Dental Care Awards Logo, please make sure it is one you have been authorised to use and marked with the year of your achievement. Use of any other logo is not permitted.
12.4 Sponsors may be permitted to use other variations of the Dental Care Awards logo that they have been supplied with.
